FOR ACCOUNTING FIRMS

AI assistant for accounting firms: less inbox work.

AI support for sorting email, preparing replies and reminding clients in accounting firms. Professional judgement stays with you.

A WORKFLOW WORTH EXPLORING

From a crowded inbox to a clear next step.

01 / Sort

AI sorts incoming client email and flags anything urgent to the responsible person straight away.

02 / Prepare

AI drafts replies and follow-up reminders for clients who still owe you a document or an answer.

03 / Review

The accountant checks each draft and approves it before sending. Nothing is sent without approval.

A proposed workflow example, not a client case study. Exact scope and integration support are confirmed before the pilot.

What stays with your team.

Tax advice, accounting judgement, ledger posting, payment approval and client commitments. The first pilot prepares and organises; it does not replace professional responsibility.

A good fit starts with the process.

Worth a conversation if…

  • You have an established business and a repeatable workflow.
  • Your team spends several hours a week sorting, preparing or chasing.
  • Someone can own the process and review the work.
  • You can share representative examples and authorised tool access.

Start somewhere simpler if…

  • Every task is unique and nobody can describe the rules.
  • You mainly need a one-off chatbot or a new website.
  • Nobody can review exceptions or own the outcome.
  • You expect guaranteed revenue or unrestricted autonomous actions.

Where should an accounting firm start with AI?

Start with a recurring administrative bottleneck, such as sorting client email or following up with clients who owe you a document or a reply. Define what counts as done, who reviews the result and which cases must be escalated before choosing an integration.

How can AI help when clients are late with documents?

The AI assistant chases follow-ups: it prepares reminder drafts for clients who still owe you a document or a reply. Your accountant decides what is actually missing and approves each message before it is sent. Nothing is sent without approval.

Will AI post entries or give tax advice?

The starting point is preparation and coordination. Posting entries, tax advice and professional judgement remain with the accountant. An email or document pilot does not include authority to make those decisions.

Can it connect to our accounting software?

We first check the actual software, available API or export, access permissions and the proposed data flow. Compatibility is confirmed in the written scope. An inbox pilot may be useful without granting access to the accounting ledger.

How much does a pilot cost for an accounting firm?

The 45-day pilot costs €690 as a one-time fee, excluding VAT, and covers one agreed workflow on one inbox. AI usage and hosting are additional; the AI model runs on your own AI account at cost, with no markup. If you decide to continue after the pilot, the subscription is €490 per month. Payment terms are confirmed in the written offer.

Can the AI help with incoming invoices and payment reminders?

Two optional add-ons are available. A finance assistant handles invoice intake and checks. A receivables keeper drafts payment reminders from the ledger for your approval. Neither posts entries or makes payments, and we check your accounting software separately. Professional judgement remains with the accountant.

Where does our data go, and who processes it?

We install the AI assistant on your own server and operate it as a monthly service. Model providers and connected services may still process data, so we document in writing which providers your setup uses and on what terms. Access is limited to the data and tools the agreed workflow needs.

How does implementation work, and how long does it take?

The pilot runs for 45 days. We prepare the server, connect email and deploy the workflow, which starts in observe mode. An acceptance review follows, where we check the results together. Continuing is your decision; a subscription does not start automatically.
